The Opportunity

We are seeking a Facilities Coordinator to join the Facilities & Property team! This role will provide coordination support for the selected portfolio of centres and work closely with the Facilities Manager and the wider Facilities Management Team.

You’ll use your strong coordination and attention to detail to provide high levels of organisational support which may include supplier coordination, documentation and invoice monitoring, daily works programs and managing the work orders and delegation.

This role is a Parental Leave contract for 7months. 

Your day-to-day

No two days are the same, however the main objective of this role is to co-ordinate and manage all work requests and work orders across the planned, reactive and project works of the network in a timely manner, in accordance with the prioritisation matrix, and in line with organisational requirements.

Other duties required, but not limited to are:

  • Liaise with Service Providers to ensure works are allocated and completed on time.
  • Consult the Lease database to clarify Tenant/Landlord responsibility for works requested.
  • Proactively contact internal customers & stakeholders to confirm details of Work Requests and to obtain additional information as required & follow internal escalation procedures to ensure that stakeholders are informed.
  • Collaborate and engage with your facilities Manager to work collaborative on the portfolio of assets.
  • Provide expert administration advice and delegation as required.
  • Assist the Facilities Administrators with periodic reporting and data.

About You

You are agile in your approach, with strong attention to detail and can work in a collaborative and high performing atmosphere. Some of the attributes and key requirements are, but not limited to:

  • Demonstrated Facilities Co-ordination and teamwork skills
  • 2 years + experience within a facilities management team in a similar role within a large property, facilities management, or corporate environment
  • Strong knowledge of facilities management principles, systems, and processes
  • Exceptional organisation, prioritisation, problem-solving, critical thinking, and lateral thinking skills.
  • Ability to resolve general issues and problems and be results orientated
  • Be self-motivated, resourceful, detail-oriented, and energetic
  • Excellent verbal and written communication skills with ability to collaborate across the business and to build and maintain relationships with relevant stakeholders
  • High level of proficiency in use of MS office and aptitude for learning new systems
